New Options for Agency Payment Using the Online System AVAILABLE NO LATER THAN 4 PM ET TODAY!

Organizations that register with Safe Kids are now able to allow their affiliates (members) to pay fees online with a purchase order or E-voucher (credit).   

By registering your organization, you will be able to better track the certifications of your affiliates by viewing their contact and certification information.  Financial tracking will be easier, because your affiliates can use your organization’s purchase orders or E-vouchers to pay online for course registration, re-certification or instructor candidacy. Managing registrations will be more streamlined, since you can enter substitutions for or reschedule the registrations of your affiliates.  

Step 1: ORGANIZATION REGISTRATION

The organization must register with Safe Kids and be assigned an ORG ID. To get started, click on ONLINE SERVICES and select the Organization Management system. 

If you have an individual profile with us already (as a course administrator or technician, for example), this is a new system that tracks by organization.  You will need to set up a new profile for your organization. 

If you have different offices that will also register with Safe Kids, be sure to coordinate naming. An example of a consistent way to name offices is LA OPH - New Orleans and LA OPH - Baton Rouge.  People will search for your organization by its name.  Be sure to tell your members what your organization name is, so they can log in and become affiliated with you.

Step 2: ADDING POs OR E-VOUCHERS

Purchase Orders:  Organizations will be able to add purchase orders through their online profile.  Affiliates may be provided with the PO number and enter it to pay for course registrations, instructor candidacy or re-certification.   The organization manager will be able to track use and print statements.

E-Vouchers: Organizations may now apply for a line of credit from Safe Kids.  Once approved, affiliates can log in and pay for course registrations or re-certification using the assigned E-voucher number. 

Step 3: ADDING AFFILIATES

Your members must log in, click on UPDATE AFFILIATE ORGANIZATION and add your organization's name.  Because some individuals work for one agency and are sponsored by another, there are two spaces for affiliation with organizations.  Affiliates will then be able to use both organizations POs and E-vouchers, once the organization manager gives them the appropriate PO or EV numbers.  

NOTE:  The organization(s) will have access to the individual's contact and certification information.

TIP:  To see who is affiliated with your organization, the organization manager can click on VIEW/ADD AFFILIATES. 

At this time, this is not a batch processing system and works best when individuals log in and enter the PO or E-voucher for their certification fees.  Batch course registration will be available in February 2006!

The organization manager may register affiliates individually for courses and enter substitutions for or reschedule the registrations of their affiliates, even if he or she did not process the registration. 

Re-certification: Because of requirement verifications for re-certification, registration for re-certification must be done by each individual affiliated certified technician, instructor candidate or instructor.

Program Reminders

CPS Customer Service Online Survey Available

Safe Kids is interested in your experiences with our toll-free CPS Customer Service by phone (877-366-8154) and e-mail (cps.certification@safekids.org).

Please take a few minutes to complete the survey available on the certification Web site.  This 20-question survey should take no more than five minutes to complete.  There is no limit to the number of times you can share your opinions with us.

Re-Certification

Don’t Risk Your Certification—You may re-certify up to four months before your certification expiration date. 

  • Seat checks may be logged at any time during your certification cycle and must be approved before you can register for re-certification. 
  • You must complete registration no later than your certification expiration date. 

Once your re-certification registration is processed, you will have 30 days to complete the online exam.  The test does not have to be completed by your certification expiration date.

If your test is never started, inadvertently submitted or incomplete when the term expires, it will be graded and you won’t get your money refunded.

 

 Upcoming Program Developments

Spanish-language Certification Course

Course administrators and certified instructors will be able to register Spanish-language certification courses online beginning January 20, 2006.

Additional details available on our Web site in a letter to CPS Instructors with a separate grant application (Spanish language oral proficiency interviews for currently certified CPS instructors only).
GRANT APPLICATION DEADLINE: December 16, 2005
